Scope
This policy applies to all remote sharing activities involving access to systems, data, or collaborative tools such as file shares, desktop sessions, or virtual environments.
Authorised Sharing Only
- Remote sharing must be pre-approved by a client or relevant system owner.
- Access must be granted using company-approved tools that support logging and session control.
- Data shared remotely should only include the minimum necessary for the intended task.
Tools and Encryption
All remote sharing must utilise secure platforms (e.g., encrypted cloud storage, secure remote desktop) and avoid personal accounts or unauthorised third-party software. Encryption is mandatory for all data transfers and sessions.
Monitoring and Audit
Remote sessions may be logged for audit and compliance purposes. Activity logs are reviewed periodically to detect misuse or unusual access behaviour.
User Responsibilities
- Do not share credentials or session access links with unauthorised parties.
- Ensure that shared files do not contain sensitive data unless required and approved.
- Notify the support team if you suspect any breach or suspicious activity during remote sharing.
Exceptions and Violations
Exceptions to this policy must be authorised in writing by a senior manager. Violations may result in access restrictions or disciplinary action depending on severity and risk.
